This person is responsible for developing, monitoring, promoting, and implementing the parts departments strategic business plan. Also required is providing inspirational and motivational leadership, developing the departments employees, managing capital resources, balancing management needs, overseeing daily operations, and collaborative team building. The person in this position is expected to collaborate with all management groups and other departments within the dealership to achieve overall dealership goals..

Summary of Position

Summary of Position
The Assistant Service Manager supports the Service Manager in overseeing day-to-day operations of the service department within a heavy equipment dealership. This role helps ensure high-quality service delivery, efficient workflow management, strong customer relationships, and optimal utilization of technicians and resources. The Assistant Service Manager is key to driving customer satisfaction, service profitability, and shop/field service efficiency.

Position Details and Responsibilities
● Assist in managing daily service department activities including scheduling, dispatching, repair order management, and job prioritization.
● Monitor work-in-progress to ensure timely completion and adherence to quality standards.
● Coordinate field service and shop service activities to maximize technician productivity.
● Support warranty administration, proper job coding, and compliance with OEM policies.
● Ensure proper maintenance of service records, documentation, and reporting.
● Process equipment traffic for machines moving in and out of the location. Ensure proper documentation for each unit.
● Serve as a primary point of contact for customers regarding service updates, estimates, timelines, and escalations.
● Provide accurate repair quotes and obtain necessary approvals.

● Handle customer concerns promptly and professionally, escalating when needed.

  • Communicate service estimates, timelines, and required approvals to customers via phone, text or emails.
  • Provide ongoing updates regarding job status, delays, parts availability, and additional findings.

  • Open, update, and close repair orders with full accuracy and proper labor, parts, and job coding.

  • Prepare and review service quotes for customer approval as needed.

  • Follow up on completed repairs to ensure customer satisfaction.
  • Support customer retention initiatives, service promotions, and preventative maintenance programs.
  • Process and manage machine and/or attachment traffic as it pertains to items coming to the store or leaving.
  • Overseeing yard inventory of machines and attachments.

Qualifications

● Prior experience in service writing, customer service, or administrative support —
preferably in heavy equipment, diesel, agricultural, or truck.

● Strong mechanical aptitude and understanding of equipment systems (hydraulic, electrical, powertrain).

● Excellent communication and interpersonal skills.

● Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment.

● Familiarity with service management or dealer management systems (DMS).

● 2+ years of experience in a dealership or heavy equipment service department (Preferred).

● Experience coordinating shop and/or field service operations.

● Knowledge of off highway OEM systems is a plus.

● Warranty processing experience.

Summary of Position
The Product Support Sales Representative  (PSSR) serves as a visible and proactive customer support leader within the assigned area of responsibility (AOR). This role focuses on identifying, developing, and closing product support opportunities with both existing and new customers. Responsibilities include promoting parts, service, maintenance programs, repairs, and other approved aftermarket of allied brand offerings to help Brooks Tractor achieve monthly revenue and profitability goals. 

This is an outside sales position requiring strong communication skills, self-management, and the ability to balance customer needs with business objectives.

Key Responsibilities:

  • Sell machine maintenance and repair services, parts, extended warranties, and other approved aftermarket products.
  • Represent the company and promote product support solutions within a defined sales territory.

The focus is ensuring all rentals are inventoried, both equipment and attachments, well maintained, inspected, and kept organized. Duties & Responsibilities
  • Assist in maintaining inventory of equipment, and the location of the equipment in the yard.
  • Prepare equipment to be shipped or received.
  • Duties are dependent on the day to day needs of technicians and sales, which may include performing minor repairs, general machine maintenance, washing equipment, loading and unloading equipment, changing fluids and filters on a machine and housekeeping duties.
  • Specific duties will vary and are determined on an "as needed" basis.

Educations, Skills, and/or Experience Requirements
Minimum education requirement is a high school diploma or GED. Technical, vocational, or trade school education desired. Ability to operate in a fast-paced environment that requires multitasking while maintaining a high level of organization. Proficiency with computers and aspects of Microsoft office desired. Candidates must demonstrate problem solving skills, mechanical aptitude, good work habits, self-motivation and a desire to perform at one's highest level and knowledge of basic tools and tool usage. Must have heavy equipment experience.
